HiveResume ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, services, and applications (collectively, the "Service").

By using HiveResume, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our policies and practices, please do not use the Service.

Information We Collect

Personal Information

We collect information that you provide directly to us, including:

• Email address and password (for account creation)
• Name, phone number, location, and LinkedIn profile (in your resume)
• Resume content, including work experience, education, skills, and achievements
• Job preferences and search criteria
• AI Readiness analysis data, including role summaries, workflow analyses, and career strategies
• Career Intelligence data, including career signals, role readiness assessments, and career stage classifications
• Job Fit analysis data, including gap assessments and ATS optimization recommendations
• Career Intelligence Advisor data, including conversation history (messages you send and receive), context selections (e.g., selected resume version), and—for Career Pro and Teams subscribers—career preferences and other information you explicitly choose to store in the Advisor's memory feature
• Payment information (processed securely through Stripe)
• Support requests and feedback

Automatically Collected Information

When you use the Service, we automatically collect:

• Device information (browser type, operating system, device identifiers)
• Usage data (pages visited, features used, time spent)
• IP address and general location information
• Cookies and similar tracking technologies (with your consent)

How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Service
• Process your account registration and authentication
• Generate AI-powered content (resumes, cover letters, interview prep, AI Readiness analyses)
• Analyze your role's AI exposure and provide career upgrade strategies
• Generate Career Intelligence signals and career coaching simulations
• Operate the Career Intelligence Advisor, including generating context-aware responses, loading your resume and achievement data for personalized advice, and—for Career Pro and Teams subscribers—storing and utilizing career preferences in memory to personalize advice across sessions
• Perform Job Fit analysis, gap assessment, and ATS optimization recommendations
• Match you with relevant job opportunities
• Process payments and manage subscriptions
• Send you system emails (e.g. account, security, and product-related notifications) and, where you have not opted out, marketing emails (e.g. product updates, tips, and promotions)
• Respond to your support requests
• Analyze usage patterns to improve our services
• Detect and prevent fraud or abuse
• Comply with legal obligations

Resume Scoring & Analysis

HiveResume uses deterministic, algorithm-based scoring systems to evaluate your resume. Our scoring system:

• Deterministic Scoring: Uses consistent, rule-based algorithms to ensure the same resume receives the same score regardless of when or how it is evaluated
• ATS Compliance: Evaluates your resume's compatibility with Applicant Tracking Systems (ATS) using standardized criteria
• Job Matching: Compares your resume against job descriptions to assess compatibility when you provide job information
• Component Analysis: Evaluates specific aspects including keyword matching, action verbs, metrics usage, and behavioral tone
• Consistent Results: Scores are calculated using the same algorithms across all entry points (AI Writing Assistant, Job Readiness Widget, Cover Letter generation) to ensure consistency

Your resume content and job descriptions (when provided) are processed locally and stored securely to generate these scores. Scores are saved to your account for tracking progress over time. We do not use your resume data to train AI models for scoring purposes—our scoring algorithms are deterministic and do not require machine learning on your personal data.

While our scoring system provides consistent, algorithm-based evaluations, scores are provided for informational purposes only and do not guarantee job offers, interviews, or employment outcomes.

Career Intelligence & Coaching

HiveResume's Career Intelligence feature analyzes your resume to generate career signals and coaching insights:

• Career Signal Analysis: We analyze your resume content to generate signals including Role Readiness, Experience Credibility, AI Readiness, Resume Risk, and Strategic Narrative Strength
• Career Stage Classification: We classify your career stage (Entry-level, Mid-level, Senior-level) based on your experience patterns
• Industry Context: For premium users, we analyze industry-specific signals to provide contextualized insights
• Career Coaching Simulations: Premium users receive AI-generated career trajectory simulations based on their career signals
• Caching: Career intelligence results are cached and associated with your resume version for performance and consistency

Career Intelligence uses AI to generate insights and simulations. These outputs are interpretive and should not be considered professional career advice.

HiveResume does not make automated decisions that produce legal or similarly significant effects concerning employment eligibility. All outputs are informational and advisory in nature.

Job Fit Analysis & Gap Assessment

When you use Job Fit analysis features, we process:

• Resume-Job Comparison: We compare your resume content against job descriptions to calculate fit scores
• Gap Identification: We identify gaps between your qualifications and job requirements
• ATS Optimization: We analyze your resume for ATS compatibility with specific job postings
• Recommendations: We generate actionable suggestions to improve your application

Job Fit analysis is provided for informational purposes only and does not guarantee interview or employment outcomes.

Career Intelligence Advisor

The Career Intelligence Advisor is an AI-powered conversational assistant. When you use this feature, we collect and process the following:

• Conversation Data: Messages you send to the Advisor and responses you receive are processed to provide the Service. Conversation content may be transmitted to third-party AI service providers for processing in accordance with our data processing agreements. We retain conversation history to maintain session context and improve service quality
• Context Data: To provide personalized advice, the Advisor loads context from your account, including resume content, achievements, Career Intelligence signals, job fit results, interview prep data, and company insights. This data is used solely to generate relevant responses and is not shared with third parties except as necessary for AI processing
• Stored Preferences (Career Pro and Teams): Stored preferences are saved only after explicit user consent within the Service. If you use the memory feature, career preferences and other information you explicitly choose to store (e.g., target roles, location preferences, career priorities) are retained and used to personalize future Advisor interactions. You control what is stored; you may request deletion or modification of stored preferences at any time through the Service or by contacting us
• Access Tiers: Data processing varies by subscription tier. Free users receive explain-only capabilities; paid tiers may utilize additional context and execution features. Memory storage is available only to Career Pro and Teams subscribers

For users without access to the memory feature, conversation history is retained only to support active sessions and service quality, and is not used for cross-session personalization. Advisor responses are AI-generated and provided for informational purposes only. We do not use your conversation content or stored preferences for marketing or to train models that identify you personally. HiveResume does not use your identifiable resume content, conversation data, or stored preferences to train external AI models. Any service improvements use anonymized and aggregated insights that cannot reasonably identify individual users, in accordance with our Terms.

Email Communications

We send two types of email to the address associated with your account:

• System emails: Transactional and operational messages necessary for the Service, such as account security, password resets, billing, product notifications, and important service updates. You cannot opt out of system emails while you have an account.
• Marketing emails: Optional communications such as product updates, career tips, feature highlights, and promotions. You may opt out of marketing emails at any time.

Your choice to receive or not receive marketing emails is stored in your account preferences. You can manage this in Dashboard → Settings → Notifications, or via the "Manage your email preferences" link in the footer of our emails. If you opt out of marketing emails, you will continue to receive system emails. We honor your marketing preference for all emails we send that we classify as marketing; system emails are sent regardless of that preference.

We do not sell your email address. Email delivery is handled by our service providers in accordance with our data processing agreements.

Administrative Broadcast Communications

HiveResume may use internal administrative email tools to send system and product-related communications to users. These communications may include platform updates, feature announcements, policy changes, service notices, and account-related information.

Administrative broadcast tools are used solely by authorized HiveResume personnel and are not available for user-to-user messaging.

All administrative communications are categorized as either system emails (non-optional) or marketing emails (optional and subject to user preference settings).

Career Profile & Collaborator Validation

HiveResume's Career Profile and Collaborator Validation features let you publish a professional profile and invite colleagues to confirm specific achievements. The sections below describe the data flows unique to those features.

Information Collected from Other Users

When you request a confirmation, you submit limited information about a colleague — typically their email address and, optionally, a display name and your selection of the working relationship. We use this information solely to send the invitation and to associate any response with your achievement. We do not use collaborator contact information for marketing purposes and retain it only as necessary to manage invitations and associated responses.

Collaborators who choose to respond may submit:

• A confirmation, partial confirmation, or decline for each achievement you sent them
• An optional short comment
• Their self-reported relationship to you and, optionally, the company they worked with you at
• Optional identity or supporting links (e.g., a LinkedIn URL or other public link)

Collaborators do not need to create a HiveResume account to respond. If they choose not to respond, no information about them is added beyond the email you supplied.

Invitations & Communications

When you submit a request, HiveResume sends a single email to the collaborator's address on your behalf. The email contains the achievements you selected, your name as the requester, an optional short personal note from you, and a tokenized link the recipient can use to respond. Anti-spam guardrails — including per-user daily limits and per-achievement validator caps — apply to all invitations.

Recipients are under no obligation to respond. They may ignore the email, decline the request, or stop engaging at any time. We do not send marketing or follow-up emails to collaborators based on an invitation. Each invitation email includes a mechanism to opt out of future requests. Recipients may also contact support@hiveresume.com to be removed from future invitations.

Career Profile Visibility

Your Career Profile may be made public or accessible by a shareable link, depending on the controls you set in your account. When a profile is publicly accessible, anyone with the URL can view the achievements, experience, and confirmations you have chosen to publish.

You decide which content appears on your profile. You may unpublish individual achievements, hide a confirmation, or make your profile private at any time. Unpublishing removes content from the live profile, although cached copies (for example, in search engine indexes or in browsers) may persist outside our control for a short period.

Confirmations are User-Generated Content

Confirmations are statements provided by your collaborators based on their personal professional experience. They are not independently verified by HiveResume — we do not check the identity of the collaborator, the truth of any confirmation, or the underlying achievement. Confirmations are presented as user-generated trust signals — useful context, not certification. HiveResume does not independently verify or enforce the accuracy of collaborator responses.

We retain collaborator responses only as long as they are associated with an active confirmation or as required for operational and legal purposes.

You may remove any confirmation from your Career References vault at any time. Removed confirmations are deleted from our systems and stop counting toward any displayed validation signals.

Identity & External Links

Collaborators may, at their option, provide a LinkedIn URL (or similar public identity link) when they respond. These links are optional, are provided by the collaborator, and are not verified by HiveResume. We do not check that a link belongs to the person who submitted it; we store and display only the URL itself.

Supporting Links (Evidence)

Users and collaborators may include supporting links — for example, a GitHub repository, a portfolio page, a press article, or a project URL — alongside an achievement or confirmation. HiveResume does not upload or host evidence files; we store only the URL.

HiveResume has no control over the content available at third-party URLs and does not verify or endorse it. We are not responsible for the availability, accuracy, or content of any external page linked from the Service.

How We Share Your Information

We do not sell your personal information. HiveResume does not sell, rent, trade, or broker personal data to third parties for advertising or data resale purposes. We may share your information in the following circumstances:

• Service Providers: With third-party service providers who perform services on our behalf (e.g., payment processing, cloud hosting, analytics)
• AI Service Providers: With AI service providers to generate content. Such providers may temporarily process and retain data in accordance with their data retention and security policies. HiveResume enters into data processing agreements with them to protect your information.
• Legal Requirements: When required by law or to protect our rights and safety
• Business Transfers: In connection with a merger, acquisition, or sale of assets
• With Your Consent: When you explicitly consent to sharing

We do not share your resumes or personal information with employers or job boards without your explicit consent.

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

• Encryption of data in transit and at rest
• Secure authentication and access controls
• Regular security assessments and updates
• Limited access to personal information on a need-to-know basis

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

Your Privacy Rights

Depending on your location, you may have the following rights:

• Access: Request access to your personal information
• Correction: Request correction of inaccurate information
• Deletion: Request deletion of your personal information
• Portability: Request a copy of your data in a portable format, including Career Intelligence Advisor conversation history and stored preferences where applicable
• Opt-Out: Opt out of certain data processing activities, including marketing emails (via Settings → Notifications)
• Cookie Preferences: Manage cookie consent through your account settings

Cookies and Tracking Technologies

Data Retention

We retain your personal information for as long as necessary to provide the Service and fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law.

Inactive accounts may be anonymized or deleted after 24 months of inactivity, unless retention is required for legal, security, or legitimate business purposes.

When you delete your account, we will delete or anonymize your personal information, including Career Intelligence Advisor conversation history and stored preferences, except where we are required to retain it for legal or legitimate business purposes.

Career Intelligence Advisor conversation data and stored preferences are retained for the duration of your account and are deleted upon account deletion or upon your request, subject to our backup and retention practices.

Children's Privacy

HiveResume is not intended for users under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us immediately.

International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws than your country.

Where required by law, we rely on appropriate safeguards such as standard contractual clauses or equivalent mechanisms to protect international data transfers.

We take appropriate safeguards to ensure your information is protected in accordance with this Privacy Policy, regardless of where it is processed.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by:

• Posting the updated Privacy Policy on this page
• Sending an email notification to the email address associated with your account
• Displaying a notice within the Service

Your continued use of the Service after changes become effective constitutes acceptance of the updated Privacy Policy.
