Welcome to HiveResume ("we," "our," or "us"). HiveResume is a software-as-a-service platform that provides AI-powered tools for resume creation, enhancement, job matching, interview preparation, and career development.

By accessing or using HiveResume's website, services, or applications (collectively, the "Service"), you agree to be bound by these Terms & Conditions ("Terms"). If you do not agree to these Terms, you may not use the Service.

You must be at least 18 years old to use HiveResume. By using the Service, you represent and warrant that you are at least 18 years of age and have the legal capacity to enter into these Terms.

These Terms constitute a legally binding agreement between you and HiveResume. Please read them carefully.

HiveResume provides the following services:

• Resume Creation & Management: Tools to create, edit, store, and manage multiple resume versions
• AI-Powered Content Generation: AI assistance for generating resumes, cover letters, achievement descriptions, and interview preparation materials
• Resume Enhancement: AI-powered suggestions to improve resume content, formatting, and ATS (Applicant Tracking System) compatibility
• Resume Scoring: Deterministic, algorithm-based scoring of resumes that evaluates ATS compliance, keyword matching, job compatibility, action verbs, metrics usage, and behavioral tone. Scores are calculated using consistent algorithms to ensure the same resume receives the same score regardless of entry point
• Resume Parsing: Extraction of structured data from uploaded resume files (PDF, DOCX, TXT, MD)
• Job Matching: Algorithm-based job recommendations based on your resume and preferences
• Job Fit Analysis: Comprehensive comparison of your resume against specific job descriptions, including fit scores, gap identification, and actionable recommendations
• Gap Analysis: Identification of gaps between your qualifications and job requirements, with severity assessment and improvement suggestions
• ATS Optimization: Job-specific recommendations to improve your resume's compatibility with Applicant Tracking Systems, including keyword suggestions and formatting improvements
• Job Readiness Scoring: Assessment tools to evaluate your preparedness for job applications
• Cover Letter Generation: AI-assisted creation of tailored cover letters for specific job applications
• Interview Preparation: AI-generated interview questions, answers, and practice materials
• AI Readiness Analysis: Analysis of your role's AI exposure, identification of vulnerable tasks, and personalized strategies to upgrade your role and enhance career resilience
• Career Intelligence: Comprehensive career signal analysis including Resume Competitiveness Index (RCI), Role Readiness, Experience Credibility, AI Readiness, Resume Risk, and Strategic Narrative Strength assessments
• Career Signal Heat Map: Visual representation of career signals showing strengths and gaps across multiple dimensions
• Career Coaching Simulation (Premium): AI-powered career trajectory modeling that simulates outcomes for different career paths, including individual contributor growth, leadership transitions, and career pivots
• Career Intelligence Advisor: An AI-powered conversational assistant that provides context-aware explanations of your career data (including resume scores, Career Intelligence signals, job fit analyses, and coaching simulations), answers questions, and—on eligible subscription tiers—may execute system actions such as re-running analyses or generating artifacts upon your explicit request. Access levels vary by plan: Free tier offers explain-only capabilities; Pro, One-Time Pass, Career Pro, and Teams plans offer full conversational and execution capabilities; Career Pro and Teams plans additionally offer persistent memory to store career preferences for personalized advice across sessions
• Application Kits: Comprehensive packages including resumes, cover letters, and application materials
• Achievement Tracking: Tools to track and document professional achievements and performance reviews
• Export Features: Download resumes, cover letters, and AI Readiness analyses in PDF and DOCX formats

3.1 Account Creation

To use certain features of HiveResume, you must create an account. You agree to:

• Provide accurate, current, and complete information during registration
• Maintain and promptly update your account information
• Maintain the security of your account credentials
• Accept responsibility for all activities that occur under your account
• Notify HiveResume immediately of any unauthorized use of your account

3.2 Prohibited Activities

You agree not to:

• Use the Service for any illegal purpose or in violation of any laws
• Impersonate any person or entity or misrepresent your affiliation with any person or entity
• Upload, post, or transmit any content that is harmful, offensive, defamatory, or violates any third-party rights
• Attempt to gain unauthorized access to the Service or any related systems or networks
• Use automated scripts, bots, or other means to scrape, extract, or collect data from the Service
• Reverse engineer, decompile, or disassemble any part of the Service
• Circumvent or attempt to circumvent usage limits, subscription restrictions, or security measures
• Interfere with or disrupt the Service or servers or networks connected to the Service
• Use the Service to generate spam, unsolicited communications, or bulk content
• Resell, redistribute, or sublicense access to the Service without authorization

3.3 Email Communications

By using the Service, you may receive email from HiveResume at the address associated with your account. We send:

• System emails: Account, security, billing, and product-related notifications that are necessary to operate the Service. These may be sent regardless of your marketing preferences.
• Marketing emails: Product updates, tips, and promotional content. You may opt out of marketing emails at any time via Dashboard → Settings → Notifications or the link in the footer of our emails.

You agree to receive system emails as long as you have an account. Your consent to receive marketing emails is optional and can be withdrawn through your notification settings. For details on how we use and protect your email address, see our Privacy Policy.

3.4 Administrative Communications

HiveResume may send administrative communications to users regarding:

• Service updates or feature changes
• Security notifications
• Legal or policy updates
• Billing or subscription notices
• Service interruptions or maintenance
• Product announcements related to your account or plan

These communications are considered essential to the operation of the Service and cannot be opted out of while you maintain an active account.

HiveResume does not provide user-to-user messaging functionality. Email communication features within the Service are used solely for administrative, operational, and platform-related purposes.

You use AI-generated content at your own risk. HiveResume shall not be liable for any consequences arising from your use of AI-generated content, including but not limited to missed job opportunities, inaccurate information, or negative outcomes.

4.1 Resume Scoring System

HiveResume's resume scoring system uses deterministic, algorithm-based calculations rather than AI-generated scores. This ensures:

• Consistency: The same resume will receive the same score regardless of when or how it is evaluated
• Transparency: Scores are based on standardized, rule-based criteria that can be explained and reproduced
• Reliability: Scores are calculated using the same algorithms across all entry points (AI Writing Assistant, Job Readiness Widget, Cover Letter generation)
• No AI Variability: Unlike AI-generated content, scores are not subject to the variability inherent in AI systems

However, you acknowledge and agree that:

• Informational Purpose Only: Scores are provided for guidance and informational purposes only
• No Employment Guarantee: Higher scores do not guarantee job offers, interviews, or employment opportunities
• Employer Discretion: Individual employers may use different criteria, and our scores may not reflect their specific requirements
• Not Professional Assessment: Scores are not a substitute for professional career counseling or HR advice
• Algorithm Limitations: While deterministic, scoring algorithms may not capture all relevant factors that employers consider

HiveResume may update scoring algorithms over time to improve accuracy and relevance. You will receive scores based on the algorithm version in effect at the time of scoring.

4.2 Career Intelligence & Coaching Simulations

HiveResume's Career Intelligence feature uses AI to analyze your resume and generate career signals, insights, and coaching simulations. You acknowledge and agree that:

• Interpretive Guidance: Career signals, readiness assessments, and coaching simulations are AI-generated interpretations, not professional career advice
• No Guaranteed Outcomes: Simulations model potential career trajectories but do not predict or guarantee actual career outcomes
• Career Stage Classification: Automated career stage classification (Entry-level, Mid-level, Senior-level) is based on pattern recognition and may not reflect your actual experience level
• Industry Context Limitations: Industry-specific insights are based on general market patterns and may not reflect specific employer or regional practices
• Coaching Language: Coaching recommendations use advisory language but should not replace professional career counseling
• Premium Features: Some Career Intelligence features, including Career Coaching Simulations, are available only to premium subscribers

Career Intelligence outputs are provided for informational and self-assessment purposes only. HiveResume is not responsible for career decisions made based on these outputs.

4.3 Job Fit Analysis & Gap Assessment

HiveResume's Job Fit features analyze your resume against job descriptions to provide fit scores, gap analysis, and ATS optimization recommendations. You acknowledge and agree that:

• Algorithm-Based Analysis: Job Fit scores and gap assessments are generated by algorithms comparing your resume content to job description requirements
• No Interview Guarantee: Higher fit scores do not guarantee interviews or job offers
• Employer Discretion: Actual hiring decisions are made by employers using their own criteria, which may differ from our analysis
• Gap Subjectivity: Identified gaps represent algorithmic analysis and may not reflect all factors employers consider
• ATS Variability: ATS optimization recommendations are based on common ATS patterns; individual employer systems may vary

Job Fit analysis is provided for guidance purposes only. You are responsible for evaluating job opportunities and tailoring your applications based on your own judgment.

4.4 Career Intelligence Advisor

The Career Intelligence Advisor is an AI-powered conversational interface that interprets and explains your career data, answers questions, and—on eligible plans—may perform system actions at your direction. The Career Intelligence Advisor operates as a decision-support and explanatory tool, not as a human advisor, counselor, or coach, regardless of conversational tone or phrasing. You acknowledge and agree that:

• Not Professional Advice: All responses, explanations, and recommendations generated by the Career Intelligence Advisor are AI-generated and are provided for informational and self-assessment purposes only. They do not constitute legal, financial, career counseling, or professional advice. You should consult qualified professionals for advice on career, employment, or legal matters
• Context and Accuracy: The Advisor accesses your resume content, achievements, career signals, job fit results, and related data to provide context-aware responses. AI outputs may contain errors, inaccuracies, or misinterpretations. You are responsible for verifying any information before relying on it for decisions
• Tiered Access: Feature availability varies by subscription tier. Free users receive explain-only access. Paid tiers may receive execution capabilities (e.g., re-running analyses, generating artifacts). Career Pro and Teams users may access persistent memory features; such features are subject to availability and plan terms
• Memory and Stored Preferences: Memory features are opt-in and require explicit user consent before any preferences are stored. Where the memory feature is available, you may store career preferences (e.g., target roles, priorities) for personalization. Users may review, modify, or delete stored preferences at any time. Stored preferences are processed and retained in accordance with our Privacy Policy
• System Actions: System actions are performed only in response to explicit user instructions and, where applicable, after confirmation prompts within the Service
• No Guaranteed Outcomes: HiveResume does not guarantee that use of the Career Intelligence Advisor will result in improved job outcomes, interviews, or employment opportunities
• Third-Party AI: The Career Intelligence Advisor may utilize third-party AI services. HiveResume is not responsible for the outputs, limitations, or errors of such third-party systems

You use the Career Intelligence Advisor at your own risk. HiveResume shall not be liable for any consequences arising from your reliance on Advisor responses, including but not limited to career decisions, application outcomes, or inaccuracies in AI-generated explanations.

5.1 Your Content

You retain all ownership rights to content you create, upload, or provide to HiveResume, including:

• Resumes and resume versions you create or upload
• Achievement descriptions and performance reviews
• Personal information and profile data
• Conversation history and messages exchanged with the Career Intelligence Advisor
• Career preferences and other information you choose to store in the Career Intelligence Advisor's memory feature (where applicable)
• Any other content you submit to the Service

5.2 License to HiveResume

By using the Service, you grant HiveResume a limited, non-exclusive, worldwide, royalty-free license to:

• Process, store, and analyze your content to provide the Service
• Generate AI outputs based on your content
• Improve and train our AI systems using anonymized, aggregated data (your personal information will not be used in a way that identifies you)
• Back up and maintain your content

5.3 Data Protection

HiveResume will not:

• Resell your personal data or content to third parties
• Publicly share your resumes or content without your explicit consent
• Use your content for marketing purposes without your permission
• Share your content with employers or third parties except as necessary to provide the Service

5.4 AI-Generated Outputs

AI-generated outputs are created based on user-provided input and automated systems. While users retain ownership of their content, HiveResume does not guarantee exclusivity of AI-generated outputs, as similar outputs may be generated for other users based on similar inputs.

HiveResume may provide access to job listings, job descriptions, and employer information from third-party sources, including job boards and employer websites.

You acknowledge and agree that:

• Third-party content: Job listings and employer information are provided by third parties. HiveResume does not control, verify, or endorse this content
• No accuracy guarantee: HiveResume does not guarantee the accuracy, completeness, or legitimacy of job listings, job descriptions, or employer information
• No hiring guarantee: HiveResume does not guarantee that you will receive job offers, interviews, or employment opportunities
• Employer responsibility: HiveResume is not responsible for hiring decisions, employer behavior, or the terms and conditions of employment
• Your discretion: You apply to jobs and interact with employers at your own discretion and risk
• Verification: You are responsible for verifying the legitimacy of employers, job postings, and employment opportunities

HiveResume is not a job placement service, employment agency, or recruiter. We provide tools to help you prepare application materials and discover job opportunities, but we do not facilitate or guarantee employment.

7.1 Subscription Plans

HiveResume offers the following subscription plans:

• Free Plan: Limited access to basic features with usage restrictions
• One-Time Pass: A one-time payment that provides access to specific features for a limited time period (typically 7 days)
• Pro Plan: Monthly or annual subscription with expanded features and higher usage limits, including full access to the Career Intelligence Advisor
• Career Pro Plan: Premium subscription with advanced features including Career Coaching Simulation and Career Intelligence Advisor with persistent memory
• Teams Plan: Subscription for teams with collaborative features and full Career Intelligence Advisor access including memory

7.2 Billing

Subscription fees are billed in advance on a monthly or annual basis, as selected during signup. One-Time Pass purchases are charged once at the time of purchase.

HiveResume uses Stripe as its payment processor. By providing payment information, you authorize HiveResume and Stripe to charge your payment method for all fees associated with your subscription.

7.3 Auto-Renewal

Monthly and annual subscriptions automatically renew at the end of each billing period unless you cancel your subscription before the renewal date. You will be charged the then-current subscription fee at the time of renewal.

7.4 Usage Limits

Each subscription plan includes specific usage limits (e.g., number of AI generations, resume versions, job matches per day). Usage limits are enforced per billing period. Unused usage does not roll over to the next period.

7.5 Price Changes

HiveResume reserves the right to change subscription prices at any time. Price changes will be communicated to you via email at least 30 days before they take effect. If you do not agree to a price change, you may cancel your subscription before the change takes effect.

7.6 Payment Methods

You are responsible for maintaining valid payment information. If payment fails, HiveResume may suspend or terminate your subscription. You are responsible for any fees charged by your payment provider.

8.1 Subscription Cancellation

You may cancel your subscription at any time through your account settings or by contacting support. Cancellation takes effect at the end of your current billing period. You will continue to have access to paid features until the end of your paid period.

8.2 Refund Policy

Monthly and Annual Subscriptions: Refunds are not available for monthly or annual subscription fees. If you cancel your subscription, you will retain access until the end of your paid period, but no refund will be issued for the unused portion.

One-Time Pass: Refunds for One-Time Pass purchases are not available once the pass has been activated or used. If you have not activated your One-Time Pass, you may request a refund within 7 days of purchase by contacting support.

Exceptions: HiveResume may, at its sole discretion, provide refunds in exceptional circumstances, such as technical errors preventing service access or billing errors. Refund requests must be submitted within 30 days of the charge.

8.3 Trial Usage

If HiveResume offers a free trial period, you may cancel during the trial without being charged. If you do not cancel before the trial ends, you will be charged for the subscription.

You agree to use HiveResume only for lawful purposes and in accordance with these Terms. Prohibited uses include:

• Uploading, posting, or transmitting any content that is illegal, harmful, threatening, abusive, defamatory, or violates any third-party rights
• Impersonating any person or entity or misrepresenting your identity
• Using the Service to send spam, unsolicited communications, or bulk messages
• Abusing AI systems by generating excessive or inappropriate content
• Making excessive automated requests that could overload or disrupt the Service
• Circumventing usage limits, subscription restrictions, or security measures
• Attempting to reverse engineer, decompile, or extract source code from the Service
• Using the Service to violate any applicable laws or regulations
• Interfering with or disrupting the Service or servers or networks connected to the Service
• Reselling, redistributing, or sublicensing access to the Service without authorization

Violation of this Acceptable Use Policy may result in immediate suspension or termination of your account.

The Service, including its design, features, functionality, software, text, graphics, logos, and trademarks, is owned by HiveResume or its licensors and is protected by copyright, trademark, and other intellectual property laws.

You may not:

• Copy, modify, distribute, sell, or lease any part of the Service
• Reverse engineer or attempt to extract the source code of the Service
• Use HiveResume's trademarks, logos, or branding without written permission
• Claim ownership of HiveResume's intellectual property

You retain ownership of your content, as described in Section 5. HiveResume retains all rights to the Service and its intellectual property.

HiveResume strives to provide reliable service but does not guarantee:

• Uninterrupted or error-free access to the Service
• That the Service will be available at all times
• That all features will function as expected
• That the Service will meet your specific requirements

HiveResume may:

• Modify, update, or discontinue features or the entire Service at any time
• Perform maintenance that may temporarily interrupt service
• Change pricing, features, or usage limits with notice
• Suspend or terminate access for violations of these Terms

HiveResume will provide reasonable notice of significant changes when possible, but is not obligated to do so for all modifications.

12.1 Termination by You

You may terminate your account at any time by canceling your subscription (if applicable) and deleting your account through your account settings or by contacting support.

12.2 Termination by HiveResume

HiveResume may suspend or terminate your account immediately, without notice, if you:

• Violate these Terms or the Acceptable Use Policy
• Engage in fraudulent, abusive, or illegal activity
• Fail to pay subscription fees when due
• Use the Service in a manner that harms HiveResume or other users

12.3 Effect of Termination

Upon termination:

• Your right to access and use the Service will immediately cease
• HiveResume may delete your account and content, subject to data retention policies
• You will not be entitled to any refund for unused subscription time
• Provisions of these Terms that by their nature should survive termination will remain in effect

TO THE MAXIMUM EXTENT PERMITTED BY LAW, HIVERESUME SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:

• Loss of profits, revenue, data, or business opportunities
• Damages arising from AI inaccuracies or errors in AI-generated content
• Damages arising from job application outcomes, including missed opportunities or negative outcomes
• Data loss or corruption
• Third-party actions, including employer behavior or hiring decisions
• Service interruptions or unavailability
• Errors or omissions in job listings or third-party content

TO THE MAXIMUM EXTENT PERMITTED BY LAW, HIVERESUME'S TOTAL LIABILITY FOR ANY CLAIMS ARISING FROM OR RELATED TO THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO HIVERESUME IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR ONE HUNDRED DOLLARS ($100), WHICHEVER IS GREATER.

This limitation applies regardless of whether a claim arises from automated systems, artificial intelligence outputs, or human review processes.

Some jurisdictions do not allow the exclusion or limitation of certain damages. If such laws apply to you, some of the above limitations may not apply, but HiveResume's liability will be limited to the fullest extent permitted by law.

You agree to indemnify, defend, and hold harmless HiveResume, its affiliates, officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, costs, or expenses (including reasonable attorneys' fees) arising from or related to:

• Your use of the Service
• Your violation of these Terms
• Your violation of any third-party rights
• Your content or any content you submit to the Service
• Your use of AI-generated content
• Any activity that occurs under your account

HiveResume reserves the right to assume the exclusive defense and control of any matter subject to indemnification by you, in which case you agree to cooperate with HiveResume's defense.

Your privacy is important to us. HiveResume's collection, use, and protection of your personal information is governed by our Privacy Policy and Cookie Policy, which are incorporated into these Terms by reference.

By using the Service, you consent to:

• The collection and use of your information as described in our Privacy Policy
• The use of cookies and similar technologies as described in our Cookie Policy
• The processing of your data in accordance with applicable data protection laws

16.1 Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law provisions.

16.2 Dispute Resolution

Any dispute arising from or related to these Terms or the Service shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association (AAA). Arbitration shall take place in Delaware, United States.

You and HiveResume agree to waive any right to a jury trial and to participate in class action lawsuits. You may opt out of this arbitration agreement within 30 days of first accepting these Terms by sending written notice to HiveResume.

Notwithstanding the foregoing, either party may seek injunctive relief in any court of competent jurisdiction to protect intellectual property rights or to prevent irreparable harm.

HiveResume reserves the right to modify these Terms at any time. We will notify you of material changes by:

• Posting the updated Terms on this page with a new "Last Updated" date
• Sending an email notification to the email address associated with your account
• Displaying a notice within the Service

Material changes will take effect 30 days after notification. Your continued use of the Service after the effective date of changes constitutes your acceptance of the modified Terms.

If you do not agree to the modified Terms, you must stop using the Service and may cancel your subscription (if applicable).

This section applies to your use of HiveResume's Career Profile (a profile that may be published or shared via link) and Collaborator Validation features (where you invite colleagues to confirm specific achievements and they may, optionally, submit identity or supporting links).

19.1 Your Responsibility for Career Claims

You are responsible for the accuracy and truthfulness of every achievement, role, employer, project, and other career detail you publish on your Career Profile or submit for collaborator confirmation. HiveResume formats and presents what you provide; we do not author or fact-check it on your behalf.

19.2 Collaborator Confirmations

A confirmation is the personal opinion of a colleague, based on their professional experience working with you. Confirmations are user-generated trust signals — they are not independently verified by HiveResume, and HiveResume does not certify or endorse any confirmation, the underlying achievement, or the identity of the collaborator. The presence of a confirmation badge or count does not imply that HiveResume has reviewed or substantiated the claim. HiveResume does not independently verify or enforce the accuracy of collaborator responses.

19.3 Contributor (Collaborator) Responsibility

If you respond to a confirmation request, you agree that:

• Your responses reflect your good-faith opinion based on real, first-hand professional experience working with the requester
• You will not knowingly provide false, misleading, or fabricated confirmations
• Any LinkedIn or supporting link you provide is yours to share, and is accurate to the best of your knowledge
• You will not respond on behalf of, or while impersonating, another person

19.4 Consent to Contact Collaborators

When you submit a collaborator's email address, you represent that you have a legitimate professional relationship with that person and a reasonable basis to believe they would expect to be contacted by you for this purpose. You may not use the invitation system to send unsolicited bulk email, sales outreach, or any communication unrelated to confirming a specific achievement, and you may not use it to harass, intimidate, or contact someone who has asked you to stop.

19.5 No Verification, No Endorsement

HiveResume is a neutral platform for surfacing user-provided career signals. We do not verify achievements, employment history, identities, confirmations, LinkedIn links, or supporting links. Nothing on a Career Profile constitutes a background check, employment verification, certification, accreditation, or endorsement by HiveResume. Anyone reviewing a profile (including recruiters, hiring managers, or other third parties) is responsible for forming their own judgment and conducting any independent verification they consider appropriate.

19.6 License to Display Confirmations and Profile Content

Collaborators who submit a confirmation grant HiveResume a non-exclusive, worldwide, royalty-free license to store the response and display it — including the collaborator's submitted name, self-reported relationship, optional comment, and any links they chose to provide — on the requester's Career Profile and within the requester's HiveResume account. The requester controls whether each confirmation is displayed publicly. Collaborators may withdraw a submitted confirmation by contacting [email protected]; withdrawal will remove the confirmation from public display and from the requester's profile going forward, and we will delete the associated response from our systems where feasible.

19.7 Feature-Specific Acceptable Use

In addition to the rules in Section 9, you specifically agree not to:

• Submit, request, or coordinate fake, scripted, or reciprocal confirmations
• Impersonate a colleague, employer, or any other person when responding to or requesting a confirmation
• Use multiple email addresses, alter-egos, or accounts to inflate confirmation counts or trust signals
• Attempt to bypass invitation rate limits, validator caps, dedupe rules, or other anti-abuse controls
• Post supporting links to content that is illegal, infringing, harmful, or otherwise violates Section 9

19.8 Limitation of Liability for Profile and Confirmation Content

Decisions made by recruiters, employers, partners, or any other third party based on a Career Profile, a confirmation, an identity link, or a supporting link are made by them — not by HiveResume. To the maximum extent permitted by law, HiveResume is not responsible for hiring decisions, contracts, or other actions taken in reliance on user-provided or collaborator-provided content surfaced through the Service. The general limitation of liability in Section 13 applies to this section as well.
